Kingo Notifications Privacy Notice

Kingo Notifications is a private work-order management tool operated for Kingo Services' own use. This notice describes the application's configured Gmail connection, dashboard, and Pushover alerts. It does not offer customer accounts or public access to work-order records.
Information accessed and stored
The owner authorizes Gmail access through Google's consent screen. The requested permission is Gmail read-only (gmail.readonly), which permits reading Gmail data. The configured workflow narrows its searches to selected work-order sender and subject rules; it currently processes Liberty Home Guard work-order notifications, including matching messages in spam or trash. Setup checks may also process a specifically identified test message.
The workflow reads the connected mailbox address and profile metadata, matching message and thread identifiers, message headers, labels, received times, and short message excerpts supplied by Gmail. It requests message metadata rather than full message bodies or attachments. Excerpts can contain personal or service information included in the original email.
The dashboard stores a work-order identifier, source, title, excerpt, received time, link to the original Gmail message, and location when supplied. It also stores alert and handling status, delivery attempts and receipts, acknowledgment times and device or account display names, and saved valuation inputs and notes. The automation stores the mailbox address and progress timestamps so it can resume checks and avoid duplicate records.
Private dashboard sign-in supplies an authenticated account identifier, email address, and name when available. The application uses the account's display name to record acknowledgments and valuation changes. Google authorization credentials are kept in the n8n credential store; the application does not ask for the owner's Google password.
How the information is used
Information is used to identify matching work orders, show them to the owner, deliver and retry alerts, synchronize acknowledgments, retain handling history, calculate estimates from the owner's inputs, and troubleshoot the connection. The configured application does not sell email data, operate advertising, automatically transfer leads to buyers, or send Gmail content to an AI model.
Services that process information
- Google / Gmail supplies the authorized mailbox information and selected message data through the Gmail API.
- Kingo's n8n server runs mailbox checks, holds the Google connection credentials and progress state, and passes selected work-order data to the dashboard. Failed automation executions can retain message data for troubleshooting; successful scheduled execution payloads are configured not to be saved.
- OpenAI Sites and Cloudflare provide the private dashboard's hosting, authenticated access, processing, and database storage.
- Pushover receives the alert title, work-order source, optional location, excerpt, dashboard link, and configured Pushover account identifier to deliver notifications. Delivery receipts and acknowledgment information return to the dashboard. Alert text can appear in device notification previews according to the device's settings.
The dashboard requires sign-in, and the integrations use server-held credentials and HTTPS connections. The application does not publish work-order records on its public information pages. These service providers also process information under their own service terms and privacy practices.
Retention and control
Work-order records and saved estimates do not currently have an automatic deletion schedule or a self-service delete button. Acknowledging an alert or marking a request handled retains the record. Automation execution records follow the n8n server's retention settings. This notice does not promise a fixed deletion period for provider logs or backups.
The owner can stop Gmail monitoring by disabling its workflow or removing the app's access in Google Account connections. Removing Google access stops future access; it does not delete records already stored in the dashboard or notification services. See Google's instructions for managing app access.
